Purpose
The Taumore Trust is committed to protecting the privacy of whānau, trustees and visitors to this website. Personal information is collected and managed in accordance with the Privacy Act 2020 (NZ).
Information we collect
We may collect personal information, including:
- Names and contact details provided through website forms or direct communication
- Date of birth, address, iwi and hapū, whakapapa and connection details provided when you register
- Booking details, such as dates and the occasion, when you ask to hire the whare
- Information relevant to Taumore governance and administration
- Communications relating to hui, trustee matters and Taumore activities
We may ask to see photo ID to confirm who you are. Taumore does not publicly publish sensitive personal information. Whakapapa information is treated as taonga.
How information is used
Personal information is collected and used for:
- Keeping the Whānau Register and confirming who can access whānau information
- Taumore administration and governance
- Communicating notices, updates and information relevant to Taumore
- Managing hui, trustee decisions, minutes and records
- Managing bookings of the whare
Information is not used for commercial marketing purposes and is not shared unnecessarily.
How it reaches us
Your registration goes straight to the private Whānau Register, held in a secure database in Sydney, Australia. It is not visible to the public, and only people authorised by the trustees can see it. Booking requests open an email from you to Taumore. We email you to confirm your registration and tell you the outcome. The registration form uses Cloudflare Turnstile to check you are a person, so Cloudflare receives your connection and browser details for that check. When you hire Taumore, we keep your contact details, quotes and invoices to manage your booking and for our records.
Storage and security
- Taumore records, including minutes and financial information, are stored securely
- Access to sensitive information is restricted to authorised trustees or provided on reasonable request
- Logins are used where appropriate
- Reasonable safeguards are in place to prevent unauthorised access, misuse or loss
How long we keep information
- If you are approved, your details are kept for as long as you stay registered.
- If your application is declined, your details are deleted after 12 months.
- If a trustee asks for more information and we do not hear from you within 6 months, your application is closed. Your details are deleted 12 months after that.
We keep a simple record that a decision was made, who made it and when, without your details. Deleted details can stay in secure backups for a short time until those backups are replaced.
Access and correction
You may request access to, or correction of, your personal information held by Taumore. Requests will be managed in accordance with the Privacy Act 2020.
